View a student

The student’s profile shows who the student is, their places in classes, their trials and offers, their move requests, and their waitlists.

You can open a student’s profile from many pages:

  • On the Students list, select View, or select the student’s name. See Find a student.
  • On an account holder’s Students tab, select the student’s name.
  • On a register’s waitlist, or in an enquiry, select the student’s name.

The Student Details page opens on the Enrollments tab.

  • Medical Condition: shows in red above everything else, when the student has one.
  • The student’s name.
  • Account Holder: the student’s main account holder, and their email address. Select the email address to copy it.
  • DOB and Age: the student’s date of birth and age.
  • ID: the student’s Swimio ID. IR-ID: your own internal reference ID, when the student has one. Select an ID to copy it.
Button What it does
Edit Opens the Edit Student window. See Edit a student.
Add to Waitlist Puts the student on a register’s waitlist. See Add a student to a waitlist.

The tab label shows how many full places the student has. The tab has three parts.

Each full place that has not ended. A place that starts later is included.

Item What it shows
Award scheme The award scheme of the register.
Register status For example, Active or Archived.
Arrow icon Opens the register on the student’s next class day.
Class The location, the class days, the start time, and the instructor.
SINCE The date the place started, or starts.
Details Opens the enrolment page. See The enrolment page.

When the student has no place, it shows Student is not enrolled in any Register.

Every trial the student has had, newest first.

Item What it shows
Class and register The class start time and the register name.
Location and instructor Where the trial is, and who teaches it.
Trial Date The date of the trial.
Status Scheduled: the trial is today or later. Trialing: the trial date has passed and staff have not decided yet. Finished: the trial has ended. Cancelled: the trial was cancelled.

When the student has had no trials, it shows Student has not offered any trials.

Every place staff have offered the student.

Status What it means
Active The offer is open. Nobody has answered it yet.
Trialing The offer was accepted, and a trial is booked.
Accepted The student has a full place from this offer.
Rejected The offer or the trial was rejected. The student is back on the waitlist or move request. Select the status to see the reason and the date.
Removed The offer or the trial was rejected, and the student was taken off the waitlist. Select the status to see the reason and the date.
Expired Nobody answered the offer in time, or nobody acted on the trial in time.

Each offer also shows the register, the instructor, the class time, and the date of the offer.

When the student has had no offers, it shows No offers have been made to this student.

The student’s open move requests, in every register. From here you can cancel a move request. See Cancel a move request.

The student’s waitlist entries. From here you can edit preferences and manage ability responses. See The waitlist on a student’s profile.

The Admin tab holds staff notes about the student. It shows only when you can manage all students.

Each note shows its priority (Low, Medium, or High), the note, who added it, and the date. To find a note, type part of it in Search Notes.

  1. Select Add a Note. The Add a Note window opens.
  2. Type the Note.
  3. Choose the Priority.
  4. To show the note on the student’s class card, switch on Include on Register. Then set Include on Register Until: the last date the note shows. Leave the date empty to keep showing the note.
  5. Select Save. To close the window without saving, select Discard.

Result: Swimio shows Note saved successfully.

A note included on the register shows on the class card for each day up to its end date. It shows only for days on or after the day you added it. See The class card.

  • To change a note, select Edit on the note. The Edit Note window opens. Change the note, then select Save.
  • To delete a note, select Delete on the note. Swimio asks Are you sure you want to delete this. Select Confirm, and Swimio shows Note deleted successfully.
Problem Why it happens What to do
The Admin tab is missing You cannot manage all students. Ask your Swimio administrator for access.
A trial or place is missing A cancelled or ended place does not show under Enrollments. Check Trial History and Offer History.
A note does not show on the class card Include on Register is off, its end date has passed, or the class day is before the day you added the note. Edit the note. Switch on Include on Register, and change the date.
