Company settings

Company settings hold the details and defaults for your whole company. Registers, emails and the signup form read them.

Select Module Settings, then Company Settings. Change the sections you need, then select Submit at the bottom of the page.

Result: Swimio shows Company updated successfully.

Basic Information

Field	Required	What it is for
Name	Yes	Your company name. At least 3 characters.
Description	No	An internal note to help you tell companies or divisions apart.

Business Information

Swimio uses these details in emails and SMS.

Email	Yes	Your business email address.
Phone	Yes	Your business phone number.
Website	Yes	Your website. Start it with `http://` or `https://`.
Shop URL	No	The shop link in emails and SMS. Start it with `http://` or `https://`.
Terms and Conditions URL	No	The signup form links to this page. Leave it empty and the signup form shows the words with no link.

Billing Information

Field	Required	What it is for
Billing Email	No	Swimio sends accounts emails here, such as when an offer is confirmed or a student is finishing.
Billing Phone	No	Your billing phone number.

If no billing information is provided then business information will be used instead.

Media

Field	Rules
Logo	JPG or PNG, up to 500KB. Best size: 300 x 75 pixels.
Small Logo	JPG or PNG, up to 500KB. Best size: 300 x 300 pixels.
Favicon	The small icon in the browser tab. An ICO file, up to 100KB. Best size: 128 x 128 pixels.

System Configuration

Maintenance Email (required): while a register is in maintenance mode, every email it would send to account holders goes to this address instead. A register can set its own address. See Set up a register.
Minimum age to add a student: a student younger than this cannot be added, in signup or by staff. Choose an age from the list, such as 2 years, or choose System default to follow Swimio’s default of 2 years.
Signing in as an account holder:
- Tick Email the account holder when a member of staff signs in as them to email the account holder each time.
- Notify this address: Swimio emails this address every time a staff member signs in as an account holder. Leave it empty to email nobody.

Booking Window Defaults

A booking window decides how long a register keeps accepting new students (Enrollment) and new classes (Class creation). It counts from the register’s first session. These defaults apply to Term and Crash Course registers. A Perpetual register never closes.

For each window, set:

Number: how long, for example 14.
Unit: Days or Hours.
Direction: Before first session or After first session.

Leave the Number empty and choose System default to use Swimio’s defaults:

Register type	Swimio default for both windows
Crash Course	Closes 3 days before the first session.
Term	Closes 30 days after the first session.

A value you set here is used for both register types. A register can still set its own window, which wins over this default.

Working Days

Tick the days of the week your company runs classes. A new register starts with these days ticked. Changing them does not change any register or class that already exists.

Common problems

Problem	Why it happens	What to do
Swimio says a website address is not valid	The address does not start with `http://` or `https://`.	Add `https://` at the start.
A booking window error shows	A Number is set without a Direction, or a Direction without a Number.	Set both, or clear both to use the system default.
A change to working days did not change a register	Working days only set the starting days of new registers.	Change the class days on the register itself.
