Students overview

A student is a person who attends, or wants to attend, your classes. Every student belongs to an account holder, usually a parent or carer.

  • A student belongs to an account holder. The account holder looks after the student’s account. See Account Holders overview.
  • A student has a date of birth. Swimio uses it to show the student’s age. A student must be at least a minimum age to be added. Your organisation sets this age in company settings. It is 2 years unless your organisation changes it.
  • A student can have a medical condition. Staff see it in red on the student’s profile, and on class cards.
  • A student has a score for each award scheme. The score shows how able the student is. Swimio uses it to find the right class. See Student Waitlist overview.
  • A student can be in many places at once. For example, a waitlist in one register and a class in another.

There are four ways a student is added:

  1. An account holder adds them from their own account.
  2. Staff add them with Add a Student. See Add or edit a student.
  3. Staff add them with an account holder, on the Add Account Holders form. See Add account holders.
  4. Staff import them from a CSV file. See Import account holders and students.

Select Students from the main menu.

Column What it shows
Name The student’s name. Select it to open their profile.
Account Holders The student’s account holders. Select a name to open the account holder’s profile.
Account Holder Email Each account holder’s email address. Select it to start an email.
Created At The date the student was added.
Action View opens the student’s profile. See View a student.
  • Search: type part of the student’s first, middle, or last name, or their internal reference ID.
  • Sort: select the Name, Account Holders, or Created At column heading.

When nothing matches, the list shows No students found…

Button What it does
Add a Student Adds a student to an account holder. See Add or edit a student.
Import Adds account holders and students from a CSV file. See Import account holders and students.
View Import logs Shows the CSV files you uploaded. See Import logs.
Problem Why it happens What to do
A student is not in the list The search does not match, or the student was added by an import that is still running. Clear the search. Check the progress bar on the Account Holders list.
A student shows twice Two students have the same name. They can be real, different people, or a duplicate. Open both profiles, and compare the date of birth and account holder.
A student must be at least 2 years old to be added. The date of birth is too recent. Check the date of birth. The age in the message is your organisation’s minimum age.
Search by account holder name finds nothing The search looks at the student’s name and internal reference ID only. Search on the Account Holders list, then open the account holder’s Students tab.
