Class closures

A class closure is a date or date range when classes do not run. Use it for a public holiday, pool maintenance, or a problem at a site. This page explains how closures work on a register. It owns the closure rules, so other pages link here.

You create and edit closures under Module Settings > Class Closures. See Module Settings: Class closures.

  • Reason: a short name staff see, such as “Christmas Break”. It is required.
  • Type: Holiday, Maintenance, Site issue, or Other. The type only groups closures. Every type works the same way.
  • Start date and end date: the closure covers both days and every day between them.
  • Which classes it covers: see below.

A closure can cover:

  1. All classes in your company.
  2. Chosen registers: only the classes in those registers.
  3. Chosen locations: only the classes in registers at those locations.

A register can opt out of a closure that would otherwise cover it. An opt-out always wins. For example, a closure covers all classes, but the register “Adult Squad” opts out. The Adult Squad classes keep running, and every other class closes.

You choose which closures cover a register in the Closures step of the register form. There you can opt out of a closure, attach the register to a closure, or add a closure for this register only. See Set up a register.

On a closed date, a class that the closure covers does not run. The daily view shows a grey Day off card for it, with the closure reason. No student can be offered or booked into that session.

Students keep their places in the class. A closure changes which sessions run, not who is in the class.

Sometimes one class should run even though a closure covers the date.

Before you start: the register must be active. You cannot do this on an archived or ended register.

  1. Open the register’s daily view on the closed date.
  2. Find the grey Day off card for the class.
  3. Select Run this class on this day.
  4. Swimio asks Run this class on this day? Select Run it.

Result: the class shows as a live card for that date, with the message Running on a day off.

  1. On the daily view, find the class card that shows Running on a day off.
  2. Select Running on a day off. A window shows the closure name, dates, and reason.
  3. Select Close for the day off. To leave the class running, select Keep it running.

Result: the class goes back to a grey Day off card for that date.

You can only close the class again for today or a later date. A past session already ran, so it cannot be changed.

Moving or adding a session onto a closed date

When you move a session, or add a one-off session, onto a closed date, Swimio asks what should happen. You can keep the session running on that date, or keep it closed. See Schedule exceptions.

When a new class starts on a date covered by a closure, Swimio asks which day to open after you save. See Set up a class.

  1. No overlapping closures. Two closures cannot cover the same classes on the same dates. For example, two closures for all classes cannot share a date. A closure for one register also clashes with a closure for that register’s location on the same dates.
  2. A new closure cannot start in the past.
  3. A closure that has started is partly locked. Past sessions and their billing depend on it, so you cannot change its start date, its type, or which classes it covers. You can still change its end date, its reason, and which sessions run anyway.
  4. A closure that has ended cannot be edited.
  5. You can delete a closure only before it starts.
  6. Swimio sends no email to account holders when you save a closure. Tell them yourself if their classes are affected.
