Manage a trial

A trial is the student’s first session in a class before they get a full place. What you can do depends on whether the trial date has arrived.

Before the trial

Select Trial on on the student’s row. The Edit or Cancel Trial window opens with three tabs.

Change the trial date

Open the Edit Trial tab.
Pick the new date in Choose a date you want to move this trial to. You can only pick days the class runs on.
Tick how Swimio should tell the account holder about the change.
Select Update Trial.

Result: the trial moves to the new date, and the card shows the new date.

Cancel the trial

Open the Cancel Trial tab.
Choose a Cancellation Reason: Trial date changed or Other. For Other, describe the reason.

Choose a Cancellation Option. The options depend on where the offer came from:

Offer came from	Options
The waitlist	Cancel and Add back to waitlist, or Cancel and Remove from waitlist
A move request	Cancel and Reactivate Move Request, or Cancel and Delete Move Request

Select Cancel Trial.

Result: the trial is cancelled, and the student’s waitlist entry or move request is handled as you chose.

Skip the trial

Use this when the student does not need a trial.

Open the Skip Trial tab.
Select Proceed.

Result: Swimio skips the trial date and makes the student’s place active at once.

After the trial

From the trial date, the card shows Trial action required. Select it to open Post Trial Options. The window shows the Trial Date.

Choose an Action. The Description beside it explains what it does.

Action	What happens	Extra field
Confirm	The student gets the place as their full place. Swimio removes them from this register’s waitlist or move request list.	Effective Start Date: the first session of the full place. It starts at the next session after today.
Repeat	The student has another trial.	Next Trial Date: the date of the new trial. It starts at the next session after the first trial.
Reject	The place is not suitable. The student stays on the waitlist or the move request list.	—
Remove	The trial is rejected, and the student is removed from the waitlist, or their move request is cancelled.	—

Fill in the extra field if the action has one. You can only pick days the class runs on.
Select Apply.

Result: the card shows the student’s new status. After Confirm, it shows Starting on a date or Active.

If nobody acts after the trial

A trial lasts 5 days after the trial date. If nobody chooses an action in that time, the trial expires overnight. Swimio frees the place in the class, and puts the student back on the waitlist or reactivates their move request.
