Seat logs

The Seat Logs report lists changes to students’ places between two dates. Use it to see how many students started a trial, how many got a full place, and who is leaving.

The report reads the same records as System Logs. System Logs shows every kind of change for one day. Seat Logs shows only four statuses, for a date range.

The four statuses

Status	What it means	Date
Active	A student from the waitlist got a full place.	The first day of the full place.
Trialing	A student from the waitlist started a trial.	The trial date.
Finishing	A student is finishing a class, and their last day is today or later.	The student’s last day.
Finished	A student finished a class, and their last day is before today.	The student’s last day.

A student who is Finishing becomes Finished by itself after their last day. You do not need to do anything.

Trials and full places that come from a move request are not in this report.

Run the report

Select Reports, then Seat Logs, from the main menu.
Under Date Range, pick the From date and the To date. Both are required. To cannot be before From.
Under Status, tick the statuses you want. Tick none to see all four.
Select Fetch.

Result: the list shows every status change whose date is between From and To, including both days.

If a date is missing, or To is before From, Swimio shows a message under the date and does not update the list.

The columns

Column	What it shows
Student	The student’s name. Select it to open the student’s page.
Account Holder	The main account holder’s name, email address, phone number, and second phone number when they have one.
Register	The register of the class.
Class Details	The class’s main instructor, day and times.
Date	The date of the change. See the table in The four statuses.
Status	Active, Trialing, Finishing or Finished.

Export the list

Pick the From and To dates.
Select Export Report.

Result: Swimio downloads an Excel file with every row that matches your filters. It has the same statuses as the screen, in these columns: Register, Day, Instructor, Timings, Student, Account Holder, Email, Primary Tel, Secondary Tel, Date and Status.

If a date is missing, Swimio shows Please select ‘From’ and ‘To’ date to export the report!

Common problems

Problem	Why it happens	What to do
The list shows No result found	No status changes have a date in the range, or the statuses you ticked have none.	Widen the date range, or untick every status to see all four.
A finish you saved today is not in this week’s list	The Date is the student’s last day, not the day you saved the finish.	Pick a range that includes the student’s last day.
A student who moved class is not in the list	Moves are not one of the four statuses.	Use System Logs for moves.
