Automatic archiving
A register with an end date archives on its own. You do not need to do anything. Swimio ends the register after its last active day, finishes its students, and makes it read-only.
To end a Perpetual register by hand, see Archive a register.
Which registers archive automatically
Section titled “Which registers archive automatically”| Register type | Archives automatically? |
|---|---|
| Term | Yes, after its last active day. |
| Crash Course | Yes, after its last active day. |
| Perpetual | No. It has no end date, so it keeps running until you archive it by hand. |
Term and Crash Course registers cannot be archived early by hand. Automatic archiving is the only way they end.
The last active day
Section titled “The last active day”The last active day is the day the register really ends. It is usually the End date you set on the register.
It is later than the end date in one case: when a single session is moved or added after the end date. The register then stays active until that session. For example:
- A Term register has an end date of Friday 17 July.
- You move one session to Tuesday 21 July.
- The register’s last active day becomes Tuesday 21 July.
If you remove that change, the last active day goes back to 17 July. See Schedule exceptions.
When it happens
Section titled “When it happens”Swimio checks for ended registers once a day, just after midnight. A register archives in the first check after its last active day.
For example, a register whose last active day is 18 July archives just after midnight at the start of 19 July.
What happens to the register
Section titled “What happens to the register”- Every active enrolment in the register ends. The end is dated to the register’s last active day.
- The register is archived. It becomes read-only.
- The register shows in the Archived section of the register dashboard.
After the last active day, the dashboard already shows the register as archived, even before the nightly check has run.
After a register ends
Section titled “After a register ends”Once a register passes its last active day:
- You cannot offer places, enrol students, move students, or add classes.
- You cannot edit the register or change its schedule after it is archived.
- You can still look through its days on the daily view. A banner shows that it is archived.
Archiving cannot be undone. To run the course again, create a new register.
Change the end date before the register ends
Section titled “Change the end date before the register ends”To make a register run for longer, change its End date before the last active day passes. See Edit a register.
