Reserved Seats

A reserved seat is a free place in a class that you hold back for a reason. Nobody can be offered the place or matched to it while it is reserved.

Which registers can reserve seats

Only Perpetual registers can reserve seats. Term and Crash Course registers cannot.

How a reservation works

It starts today. A reservation always starts on the day you make it.
It ends on the Reserve Until date, or never. The Reserve Until date is the last day of the reservation. The place is free again the day after. With no Reserve Until date, the place stays reserved until you cancel it.
It uses one place. The place counts as taken. When it was the last free place, the class is full.
It is not offered or matched. Offer Space and Smart Match do not see the place while it is reserved.
It ends when the register is archived. Archiving a register ends all its reservations.

Reserve a seat

Before you start:

The class must have a free place. The Offer Space button on the class card must not be greyed out.
You must be able to act on the class. Only the class’s instructor, a Manager, or a Super Administrator can reserve a seat.

On the daily view, select Offer Space on the class card.
Select the Reserve Seat tab.
Enter the Reason. It is required.
Set Reserve Until: the last day of the reservation. You cannot pick a day in the past. Leave it blank to reserve the place with no end date.
Select Reserve Seat.

Result: Swimio shows Seat reserved Successfully. The class card shows the reservation.

How a reservation shows on the class card

The reserved place shows as a coloured row on the class card, on each day the reservation covers:

Reserved until and the last day, or Reserved Indefinitely when it has no end date.
Purpose: the reason you entered.
A Cancel link.

View all reserved seats

Select Reserved Seats from the main menu. The page lists every reservation that has not ended, in every register.

Column	What it shows
Register	The register of the class.
Purpose	The reason for the reservation.
From	The day the reservation started.
To	The last day of the reservation. It is empty when the reservation has no end date.
Class Timings	The class days and times, so you can tell which class it is.
Reserved on	The date the reservation was made.
Action	A Cancel Reservation button.

A reservation leaves the list after its last day, when it is cancelled, or when its register is archived. When there are none, the page shows No reservations found…

Cancel a reservation

Cancel a reservation when you no longer need to hold the place.

Choose one:
- On the Reserved Seats page, select Cancel Reservation on the row.
- On the class card, select Cancel on the reservation row.
Swimio asks Are you sure? and warns You won’t be able to revert this! Select Yes.

Result: Swimio shows Reservation cancelled successfully. The reservation leaves the Reserved Seats page and the class card, and the place is free from today.

A cancelled reservation cannot be restored. To hold the place again, reserve it again.

Common problems

Problem	Why it happens	What to do
There is no Reserve Seat tab	The register is a Term or Crash Course register.	Only Perpetual registers can reserve seats.
The Offer Space button is greyed out	The class has no free place, or new places are blocked on this date.	See When the button is greyed out.
The purpose field is required.	The Reason is empty.	Enter a reason, then select Reserve Seat again.
