Class closures

This page explains the Class Closures screen, where you add, edit and delete closures. The rules for how a closure works live on the Registers page: which classes it covers, what the daily view shows, and what you can change after it starts. See Registers: Class closures.

Select Module Settings, then Class Closures.

The top of the page says: Class closures are dates when scheduled classes will not take place, such as public holidays, maintenance, weather disruption, or site issues. Sessions during these dates are not charged.

Column What it shows
Reason The closure’s short name, such as “Christmas Break”.
Type Holiday, Maintenance, Site issue or Other.
Start The first closed day.
End The last closed day.
Action Edit, and Delete when the closure has not started.

Type in Search Class Closure to find a closure by its reason.

The list shows closures that have not ended: Showing active closures. Switch the toggle to Showing past closures to see closures that have ended. A past closure has no actions.

  1. Select Add a Class Closure. The Add Class Closure window opens with three steps.
  2. Details:
    • Reason: required, for example “Christmas Break”.
    • Closure type: Holiday, Maintenance, Site issue or Other.
    • Start Date and End Date: the closure covers both days and every day between. The start date cannot be in the past.
  3. Select Next.
  4. Affected classes: choose what the closure Applies to:
    • All Classes: every class in the company. There is nothing more to choose.
    • Location: tick one or more locations. Type in Search locations to find one.
    • Register: tick one or more registers. Type in Search registers to find one.
  5. Select Next.
  6. Affected sessions: this step lists sessions that staff added or moved onto the closed dates. By default the closure cancels them too. Switch Keep running on for any session that should still run. When there are none, it shows No conflicting sessions on these dates.
  7. Select Save.

Result: the closure appears in the list. On the closed dates, the classes it covers show as Day off on the daily view.

Swimio sends no email to account holders when you save a closure. Tell them yourself.

  1. Select Edit on the closure’s row. The Edit Class Closure window opens.
  2. Change what you need, moving through the steps with Next and Back.
  3. Select Save.

After a closure has started, some fields are locked. The window says why:

  • The start date cannot be changed because this closure has already started.
  • The type cannot be changed because this closure has already started.
  • The affected classes cannot be changed because this closure has already started.

You can still change the reason, the end date, and which sessions keep running. A closure that has ended cannot be edited.

You can delete a closure only before it starts.

  1. Select Delete on the closure’s row.
  2. Swimio asks Remove this class closure? Select Remove.

Result: Swimio shows Class closure removed. The classes run on those dates again.

Problem Why it happens What to do
There is no Delete link The closure has started. Edit it and change its end date instead.
Swimio says the closure overlaps another Another closure already covers some of the same classes on the same dates. Change the dates or the affected classes, or edit the other closure. See the rules.
A register should keep running through a closure The closure covers it. Opt the register out in the register form. See Set up a register.
