Offer and trial statuses

Every student row on a class card shows a status. The status tells you where the student is on their way into, or out of, the class. This page explains each status and what moves a student from one to the next.

This path applies to Perpetual and Term registers. A Crash Course register has no offers or trials. See Enrol in a crash course.

  1. Staff offer a space. Staff pick a student from the waitlist or from a move request, and choose a trial date. See Offer a space.
  2. The offer waits for an answer when Auto-accept Offer? is off. The account holder gets a link to accept. The card shows Pending confirmation. See Respond to a pending offer.
  3. The trial is booked. This happens when the account holder accepts, when staff accept for them, or at once when Auto-accept Offer? is on. The card shows Trial on and the trial date.
  4. The trial date arrives. From the trial date, the card shows Trial action required. Staff decide what happens next. See Manage a trial.
  5. The student gets a full place. Staff confirm the trial, or confirm the offer and skip the trial. The card shows Starting on a date, then Active.
Status What it means What you can do
Pending confirmation An offer was sent with Auto-accept Offer? off. The account holder has not accepted it yet. Select it to accept or reject for the account holder, confirm the place, or resend the offer. See Respond to a pending offer.
Offered on a date The student was offered a place from this date, and no staff action is waiting on the offer.
Rejected offer for a date The offer for this date was rejected.
Trial on a date A trial is booked for a future date. Select it to change the date, cancel the trial, or skip it. See Manage a trial.
Trial action required The trial date has arrived. Staff must decide what happens next. Select it to confirm, repeat, reject, or remove. See Manage a trial.
Starting on a date The student has a full place that starts on a later date. Open the student to move or finish them.
Active The student has a full place in the class. Open the student to move or finish them.
Leaving action required The student is leaving the class. Their place will be free after their last day. Select it to offer the place to someone else. See Finish a student.
Leaving on a date The student leaves after this date. No action is waiting on their place. Open the student to change or revoke the finish.
Moving action Required The student’s move to another class was confirmed. Their place in this class will be free after their last session here. Select it to offer the place to someone else. See Move a student.
Finished on a date The student’s place ended on this date. Nothing to do on the row.
  1. An offer lasts 3 working days. After that, the account holder can no longer accept it. Swimio marks the offer as expired overnight, frees the place in the class, and puts the student back on the waitlist or reactivates their move request. A waitlist entry gets one more purgatory strike.
  2. A trial lasts 5 days after the trial date. If nobody confirms, repeats, rejects, or removes the trial in that time, it expires overnight. Swimio frees the place in the class, and puts the student back on the waitlist or reactivates their move request.
