The class card

Each class that runs on the day you are viewing appears as a card on the register’s daily view. The card shows who teaches the class, when it runs, who holds its places, and what you can do next.

The coloured top of the card shows:

  • The instructor: their name and first initial. The header uses the instructor’s colour, so you can spot their classes quickly.
  • The class time: the start and end time for this session.
  • The class ability: the class level or score, depending on how the register scores students.
    • A register that uses set levels shows the level name, such as a level from the award scheme.
    • A register that uses a score shows a number.
  • The gear icon: opens Class Options. See Class Options below.

Under the header, each place that is in use has its own row.

  • A student row shows the student’s name and age, and their ability. Select the name to open Student Information, where you can move or finish the student.
  • A reserved place shows Reserved until a date, or Reserved Indefinitely, with the purpose of the reservation.
  • A medical condition shows under the student’s name, with a red heart icon.

A student row also shows a status, such as Pending confirmation, Trial on a date, Trial action required, Active, or Leaving action required. The status tells you where the student is on their way into or out of the class. Many statuses are links: select one to act on it.

When nobody holds a place and no new student can be added, the card shows No students enrolled in this class.

The button at the bottom of the card adds a student to the class. Its name depends on the register type:

  • Offer Space: for Perpetual and Term registers. You offer the place to a student, and they answer the offer. See Offer a space.
  • Enroll Student: for Crash Course registers. You book the student straight into the class. See Enrol in a crash course.

When the Show vacant seats filter is on, the card shows one button for each empty place.

Sometimes the button is greyed out. Hold your pointer over it to see why:

Message What it means
Enrollment is closed for this register. The register’s booking window has closed. See the booking windows in Set up a register.
No new students can be added on this date. You are viewing an extra session. See Extra sessions.
This class is full. Every place in the class is taken.

The card shows no button at all when:

  • the register is archived, has ended, or has a scheduled archive waiting, or
  • you are viewing a date that has already passed, or
  • Consolidate Mode is on for the class.

A card can show one of these messages near the top:

  • This class is archived: the class no longer runs. The card is shown in grey.
  • Cover today: another instructor is covering the class for this session. The message names who is covering for whom.
  • Moved, Rescheduled or Add-on: this session is different from the normal schedule. See Schedule exceptions.
  • Running on a day off: a class closure covers this date, but the class runs anyway. See Class closures.
  • Consolidation: on: Consolidate Mode is on for this class. Smart Match does not fill its empty places, and the card shows this label in place of the offer button. See Set up a class.
  • Class Notes: the class has notes. Select the link to read them. This shows only when the Show class notes filter is on.

A session that does not run on this day still shows a card, so you can see what changed. These cards are read-only. They show a badge, the usual time, and the instructor:

  • Cancelled: the session was cancelled for this date.
  • Moved: the session moved to another date. The card shows Moved to and the new date.
  • Day off: a class closure covers this date. The card shows the reason for the closure, and a Run this class on this day button. See Class closures.

Select the gear icon on the card header to open Class Options:

  • Edit Class Settings: change the class details. See Set up a class.
  • Manage Schedule: cancel, move, or add one session of this class. See Schedule exceptions.
  • Duplicate Class: create a new class from this one. See Set up a class.
  • Add a Class Note: add a note that staff see on the card.
  • Archive: stop the class from running. See Archive a class below.

An option is greyed out when you cannot use it. Hold your pointer over it to see why:

  • Register is archived: the register is read-only, so the class cannot change.
  • Class is archived: the class no longer runs, so it cannot change.
  • Classes cannot be added right now: shown on Duplicate Class. The class creation window has closed, or the register has a scheduled archive waiting.

Archive a class when it should stop running, for example when you merge two groups.

Before you start: the class must have no active enrolments and no active offers. If it has any, Archive is greyed out with the message Has active enrollments or offers. Finish or move those students first.

  1. On the daily view, find the card for the class.
  2. Select the gear icon on the card header.
  3. Select Archive.
  4. Swimio asks you to confirm. It warns that the class will stop running and that this cannot be undone. Confirm to archive the class, or cancel to keep it.

Result: Swimio shows Class archived successfully. The class stops running, and its card shows This class is archived in grey. You can no longer edit the class, change its schedule, or add notes to it.
