Fetch new matches

Swimio searches for matches automatically. Use Fetch New Matches when you want a search now, for example after adding a new class or after many students join the waitlist.

What you need before starting

Section titled “What you need before starting”
  • No other search is running. While a search runs, the Smart Matches page shows There are active smart match searches. Please wait until the current search is completed. in place of the button. Select Refresh to check again.
  • The registers you want are not archived. Only registers that are not archived appear in the list.
Section titled “Start a search”
  1. Open Smart Matches from the main menu.
  2. Select Fetch New Matches. The Fetch new Matches window opens.
  3. Under Select Registers, tick one or more registers. You must tick at least one.
  4. Under Clear existing matches ?, choose:
    • No: keep the matches already in the list. The search only adds matches for places that have none.
    • Yes: close every current match first, in every register, then search again from the start.
  5. Under Include Move Requests ?, choose:
    • No: match students from the waitlist only.
    • Yes: check move requests first, then the waitlist.
  6. Set the Ability Score range. Only students whose score is inside this range are matched.
  7. Set the Age range. Only students on the waitlist inside this range are matched.
  8. Select Fetch Matches.

Result: one of two messages shows:

  • The system is now searching for suitable matches. This may take a while. The search runs in the background. Check the list after a short time.
  • There are no available seats to perform the search. The selected registers have no empty places to match.

Things to know

Section titled “Things to know”
  1. A search by hand ignores the register visibility setting. It includes every register you tick, even when Visible to Account Holder and Smart Match is off for that register. The automatic search skips those registers.
  2. Clearing matches affects every register, not only the ones you tick.
  3. The Age range applies to the waitlist only. It does not filter move requests.
  4. The Ability Score range replaces the class average rule. The automatic search matches a score within 5 points of the class average. A search by hand uses the range you set, for the waitlist and for move requests.
  5. Each empty place gets one match. The search finds one suitable student per place, then moves to the next place.
