Finish a student
Finish a student when they are leaving a class. How it works depends on the register type.
| Register type | How a finish works |
|---|---|
| Perpetual and Term | You save a finish request with the student’s last day. Swimio carries it out after that day. You can change or revoke it until then. |
| Crash Course | You finish the student at once. It cannot be undone. |
What you need before starting
Section titled “What you need before starting”- The register is not archived. In an archived register, the Finish tab is greyed out with Register is archived. You can still finish students in a register that has ended but is not yet archived.
- The student has a place in the class.
Open the Finish tab
Section titled “Open the Finish tab”- On the class card, select the student’s name. The Student Information window opens.
- Select the Finish tab.
Save a finish request
Section titled “Save a finish request”For Perpetual and Term registers.
- Set the Finish Date. This is the student’s last day in the class. It must be inside the register’s active dates.
- To finish the student today, tick Action Immediately?. The finish date becomes today.
- Choose the Finish Type:
- Finish Lesson Completely: the student leaves, and is not added to any waitlist.
- Finish and Add back to same Register Waitlist: the student goes back on this register’s waitlist.
- Finish and Add back to different Register Waitlist: the student goes on another register’s waitlist. Choose the register under Move to Waitlist of Register. The list shows only registers that use the same award scheme.
- Select Save.
Result: Swimio shows Finish request saved successfully. The student stays in the class until their last day.
To put a student on the waitlist of a register with a different award scheme, the student must first answer the ability questions for that award scheme.
After a finish is saved
Section titled “After a finish is saved”- The place can be offered at once. The place is free from the day after the student’s last day. The card shows Leaving action required on the student’s row, so staff can offer the place to someone else before the student leaves. This shows only when the register can still take new students on that day.
- When staff act on it, the row shows Leaving on and the last day.
- After the last day, Swimio carries out the finish overnight. The student’s place ends, and the finish type runs, for example adding them back to a waitlist. If the student has an open move request, Swimio cancels it.
- A student is only added back to a waitlist when they have an ability score for the award scheme. If they do not, Swimio frees the place but does not add them to the waitlist.
Change or revoke a finish request
Section titled “Change or revoke a finish request”Open the student’s Finish tab again.
- Change it: set a new Finish Date or Finish Type, then select Save. The new request replaces the old one.
- Revoke it: select Revoke Finish. The student keeps their place. Swimio shows Finish request cancelled successfully.
You can revoke a finish request only while both of these are true:
- The student’s last day has not passed.
- The place has not been offered to another student.
Otherwise, the tab shows This finish request can no longer be called off. Either the last day has passed, or the seat is already offered to another student.
Finish a student at once
Section titled “Finish a student at once”For Crash Course registers.
- On the Finish tab, select Finish Student.
- Swimio asks Finish this student? Select Yes, finish.
Result: the student’s enrolment ends today, and their place in the class becomes free.
