Add a student to a waitlist

Add a student to a waitlist when they want a place in a register but no suitable place is free yet. Staff do this from the student’s profile. Account holders can also add their own students from their dashboard, using the same steps.

  • The student exists and has a profile.
  • The sport has an award scheme. A sport with no award scheme cannot be chosen.
  • The register has classes. Only Perpetual and Term registers that have classes are listed. A Crash Course register has no waitlist.
  1. Open the student’s profile.
  2. Select Add to Waitlist.
  3. Select Sport. Choose the sport. When your organisation has only one sport ready, Swimio skips this step.
  4. Select Award Scheme. Choose the award scheme. When the sport has only one award scheme, Swimio skips this step.
  5. Choose Venue. Each card shows a register with its address, the days it runs classes, and its price per swimmer for each billing cycle. Select Show times on a day to see its class times. Select Select on the register you want.
  6. What days and times are you available for classes? Tick the days the student can attend. For each day, set From and To times. Only the days the register runs classes are shown.
    • If you tick no day, Swimio can offer classes on any day.
  7. When are you ready to get started? Set the Earliest Start Date. Leave it blank if the student can start at once.
  8. Select Next.
  9. Answer the ability questions for the award scheme, then submit them.

Result: the student is added to the register’s waitlist. Swimio works out their ability score from the answers, and opens the student’s Waiting Lists tab.

To go back a step, select Previous.

  1. One entry per register. A register the student already waits for shows Already Listed and cannot be selected again.
  2. Archived registers are not listed. A student cannot join the waitlist of a register that has ended.
  3. Account holders see only visible registers. When an account holder adds their own student, registers with Visible to Account Holder and Smart Match turned off are not listed. Staff can still choose them.
  4. The answers set the score. The score decides which classes suit the student. To change the answers later, see Manage an ability response.
  5. The earliest start date is a preference. Offer Space warns staff when an offer starts before it. Smart Match puts students without an earliest start date first.

No Class available for selected register The register has no class days to choose from. Add classes to the register first.
