Reading the register board
When you open a register, Swimio shows its daily view. This is the day-by-day board for one register. It shows the classes that run on the day you are looking at, and it is where you do most of your work on a register.
For what a register is, see Registers overview.
The daily view
Section titled “The daily view”The daily view shows one day at a time. For the chosen day you see each class that runs, with its places and the students in them. From here you can add classes, offer places, enrol students, and manage the students already in a class.
Each class on the day appears as a card. The card shows the class places and the actions you can take on it. See The class card.
Move between days
Section titled “Move between days”There are three ways to change the day you are looking at.
The day strip
Section titled “The day strip”The day strip is the row of day tabs across the top. Each tab is one day the register can run. A day that has a class shows in blue text, and a day with no class shows in grey. Select a tab to open that day.
The strip skips days the register does not work on, so a register that runs Monday to Friday still shows a full strip and carries on into the next week. A day the register does not work on still gets a tab if a session was added to it, so you can always reach that session.
The step arrows
Section titled “The step arrows”An arrow on each side of the strip moves the view by one day. The arrows skip off days, so on a Friday the right arrow opens the next Monday. When there is no earlier or later day to open, the arrow is greyed out so you can see you have reached the end.
The date control
Section titled “The date control”Next to the strip is a control to jump to any date:
- For most registers this is a calendar. Pick a date to open it.
- For a Crash Course register, which runs a short list of set days, this is a list of the course days, numbered in order. The strip also shows a Day n of m counter so you know where you are in the course.
Which dates you can open
Section titled “Which dates you can open”You can only view dates inside the register’s active range. This runs from the register’s start date to its last active day. A Perpetual register has no end date, so you can keep moving forward. You cannot open a date before the start or after the end.
Extra sessions
Section titled “Extra sessions”Sometimes a single session is moved or added to a date outside the register’s normal range. These appear as extra sessions in the date control, in their own group. When you open an extra session, the day strip is hidden and a Back to schedule button appears so you can return to the normal days.
An extra session is a copy of a session shown on another day. You cannot offer places, enrol, or start trials on an extra session date, even when the register is active.
Pending offers
Section titled “Pending offers”A pending offer is a place offered to a student with Auto-accept Offer? off, where the account holder has not accepted yet. The Pending offers button in the register toolbar lists every such offer in this register, on every day and in every class. Use it to handle offers without first finding the right day and class card.
When offers are waiting, the button shows a number: how many offers in this register still wait for an answer. The number updates when an offer is made or answered.
Act on a pending offer
Section titled “Act on a pending offer”- Select the Pending offers button in the register toolbar.
- Find the offer in the list. The list shows the soonest expiry first. You can search by student name, instructor name, or origin.
- Select Take action on the offer’s row.
- Answer or resend the offer. The options are the same as on the class card. See Respond to a pending offer.
- Select Back to list to handle the next offer. Your search stays in place.
Result: the offer is updated, and the number on the button changes.
For each offer, the list shows the student, the class, the start date, the expiry date, who made the offer, and where the offer came from.
Who can act on an offer
Section titled “Who can act on an offer”Everyone who can open the register sees every pending offer. Only these people can act on one:
- The class’s instructor.
- A Manager or a Super Administrator.
Other staff see No access in place of Take action.
Banners at the top
Section titled “Banners at the top”The daily view can show a banner at the top of the page:
- Archived: the register is archived and read-only. You can still look through its days, but you cannot make changes.
- Maintenance mode: the register is in maintenance mode. See the maintenance mode note in Set up a register.
- Scheduled archive: the register is set to archive at a future time. The banner shows a countdown, with buttons to change or cancel the schedule.
